Pilot Records Information Act (PRIA) Specialist

Position Summary

The PRIA Specialist plays a critical role in supporting PSA Airlines' growth by ensuring strict compliance with the Pilot Records Information Act (PRIA) regulations as mandated by law and the Department of Transportation (DOT). This position involves close collaboration with Recruiting, Training, and external organizations to ensure that all pilot hires meet DOT and FAA regulatory requirements.

Key Responsibilities

  • Processes all PRIA paperwork efficiently and maintains organized records.
  • Organizes and participates in annual PRIA and DOT audits.
  • Assists in maintaining accurate PRIA and DOT records, adhering strictly to applicable guidelines and laws.
  • Develops and implements effective processes for the consistent, timely filing of PRIA requests and responses.
  • Serves as a liaison with other carriers regarding PRIA responses and requests.
  • Actively participates in annual DOT and PRIA audits, coordinating and preparing necessary materials for inspection.
  • Electronically files documents and updates spreadsheets in accordance with company policy and federal regulations.
  • Enters data into applicant profiles, maintaining accuracy and integrity of all information to support compliance regulations.
  • Petitions former employers for associate training and employment records, ensuring compliance with FAA-regulated turnaround times.
  • Supplies training records to requesting airlines within regulated timeframes.
  • Contributes to the Company's Security and Safety Management System (SMS), including associated Safety Risk Management and Safety Assurance outputs.
  • Performs other duties as assigned to support departmental and company goals.

Qualifications

  • High School Diploma or equivalent is required.
  • A minimum of two years of administrative/office support and document retention experience.
  • Knowledge of Pilot Records Information Act (PRIA) regulations is essential.
  • Previous experience within the aviation industry is required.
  • Knowledge of FAA and TSA regulations and policies.
  • Advanced computer proficiency, particularly with Microsoft Office programs.
  • Must be able to speak, read, and write English fluently.
  • Must be authorized to work in the U.S. upon hire.

Additional Information

This is a non-supervisory, full-time position. The role operates in a professional office environment and involves routine use of standard office equipment. While largely sedentary, the position may require occasional standing, walking, climbing stairs, lifting up to 25 lbs, and using hands and arms for handling and reaching. All employees are required to pass a fingerprint-based criminal history records check (CHRC) and a pre-employment drug screen.
