Safety Programs Specialist
Position Summary
The Safety Programs Specialist holds a crucial role in the meticulous execution and administration of all aviation safety reporting programs. This encompasses the comprehensive management of ASAP (Aviation Safety Action Program), Fatigue Management, Incident Reporting, and general Safety Reporting initiatives. The specialist is primarily responsible for maintaining robust safety databases and conducting routine data analysis and trending, providing vital insights to leadership for informed decision-making. This position reports directly to the Director of Safety and is integral to fostering a proactive, compliant, and continuously improving safety culture within the organization.
Key Responsibilities
- Receives, processes, and meticulously maintains records of all submitted safety-related reports, including ASAP, Fatigue, Incident, and general Safety submissions.
- Schedules, facilitates, and proctors Event Review Committee (ERC) meetings, effectively serving as the ASAP Manager.
- Coordinates and monitors the implementation of all required ERC corrective actions and recommendations to enhance safety protocols and mitigate risks.
- Schedules, facilitates and proctors Fatigue Review Committee meetings, ensuring thorough discussion and resolution of fatigue mitigation strategies.
- Coordinates and monitors the execution of fatigue mitigation recommendations stemming from the FRC, prioritizing crew well-being and operational safety.
- Systematically assigns, tracks, and monitors action items developed from submitted reports, ensuring timely completion and accountability across departments.
- Creates and disseminates routine, comprehensive reports to employees, leadership, and regulatory bodies such as the Federal Aviation Administration (FAA), ensuring transparency and adherence to compliance standards.
- Continuously maintains and enhances all ASAP, ERC, and fatigue-related materials and training programs, ensuring they remain current, effective, and accessible.
- Overssees the maintenance of departmental databases, tracking sheets, and the overall Safety Management System (SMS) recordkeeping, ensuring data integrity and accessibility.
- Actively participates in company safety meetings and working groups, contributing expert insights and fostering collaborative problem-solving.
- Provides essential assistance to the Director of Safety and respective teams during accident and incident investigations, aiding in root cause analysis and the development of preventative measures.
- Contributes to the development of engaging safety promotion materials, including vital safety communications and training initiatives, to enhance safety awareness.
- Engages in special project teams as required, demonstrating adaptability and a commitment to broader organizational safety objectives.
- Performs additional duties as assigned by leadership, showcasing flexibility and dedication to the team's success.
Qualifications
Required Skills & Experience:
- Bachelor’s degree in an aviation-related field, safety management, or a closely related discipline, or equivalent practical work experience demonstrating a strong understanding of safety principles.
- Demonstrated working knowledge of aviation terminology, regulatory frameworks, and industry best practices.
- Strong proficiency in data analysis, with the ability to interpret complex datasets, identify trends, and derive actionable insights.
- Exceptional written and oral communication skills, capable of conveying complex information clearly, concisely, and professionally to diverse audiences.
- Advanced computer skills, including high proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for report generation, data management, and presentations.
- Possession of a Private Pilot Certificate, Aircraft Dispatcher License, or Airframe and Powerplant (A&P) Mechanic Certificate, underscoring practical aviation knowledge.
- Availability to work standard business hours: Monday - Friday, 9:00 AM - 5:00 PM EDT.
- Proven ability to work independently, manage multiple priorities, and maintain a high level of organization in a dynamic, fast-paced environment.
- Commitment to maintaining professional standards in remote work settings, ensuring full availability, appropriate attire, timely meeting attendance, and minimal distractions.
- Demonstrated capability to effectively manage personal obligations while consistently upholding all job responsibilities and complying with remote work policies.
Preferred Skills & Experience:
- Working knowledge of established aviation safety programs and a comprehensive understanding of regulatory compliance.
- Prior experience with Web-Based Analytical Tools (WBAT) platforms for safety data management and reporting.
- Experience utilizing formalized risk assessment and/or root cause analysis tools to identify and mitigate safety hazards and improve operational procedures.
