The Safety Programs Specialist is a crucial role responsible for the comprehensive execution and meticulous administration of all aviation safety reporting programs. This encompasses critical oversight of the Aviation Safety Action Program (ASAP), Fatigue Management, Incident Reporting, and broader Safety Reporting initiatives. The specialist plays a vital role in maintaining robust safety databases, conducting routine data analysis, and generating insightful trend reports to inform and support strategic leadership decisions within the aviation safety domain. This position reports directly to the Director of Safety.
Key Responsibilities
- Process, maintain, and meticulously record all submitted safety-related reports, including those from ASAP, Fatigue, Incident, and general Safety reporting programs.
- Serve as the Aviation Safety Action Program (ASAP) Manager, responsible for the efficient scheduling, expert facilitation, and professional proctoring of Event Review Committee (ERC) meetings.
- Coordinate and diligently monitor the implementation of all required corrective actions and recommendations stemming from ERC deliberations to ensure effective closure.
- Schedule, facilitate, and proctor Fatigue Review Committee meetings, fostering comprehensive discussion and resolution of fatigue-related concerns.
- Coordinate and monitor the effectiveness of fatigue mitigation recommendations developed by the Fatigue Review Committee.
- Assign, diligently track, and monitor the timely completion of all action items generated from various safety reporting programs.
- Generate and disseminate routine, critical safety reports to employees, leadership, and regulatory bodies such as the Federal Aviation Administration (FAA), ensuring compliance and transparency.
- Continuously maintain and enhance all program materials and training modules related to ASAP, ERC, and fatigue management, ensuring content remains current and effective.
- Oversee the maintenance of departmental databases, tracking sheets, and ensure thorough Safety Management System (SMS) recordkeeping in accordance with industry best practices.
- Actively participate in company safety meetings and contribute valuable insights to various working groups focused on enhancing aviation safety.
- Provide essential support to the Director of Safety and respective teams during accident and incident investigations, contributing to root cause analysis and preventative measures.
- Contribute to the development and dissemination of engaging safety promotion materials, including internal safety communications and comprehensive training programs.
- Engage as a valuable member of special project teams as required, contributing specialized expertise to critical initiatives.
- Undertake additional duties as assigned to support departmental and organizational safety objectives, demonstrating flexibility and commitment.
Qualifications
Required Qualifications:
- A Bachelor’s degree in a related field or demonstrable equivalent work experience in aviation safety or a relevant technical discipline.
- Profound working knowledge of aviation terminology and industry operational standards.
- Demonstrated proficiency in data analysis, with the ability to extract meaningful insights and trends from complex datasets.
- Exceptional written and oral communication skills, capable of conveying complex information clearly, concisely, and persuasively to diverse audiences.
- Advanced computer proficiency, including expert-level command of Microsoft Office Suite applications (Word, Excel, PowerPoint, Outlook).
- Possession of a Private Pilot Certificate, an Aircraft Dispatcher License, or an Airframe and Powerplant (A&P) Mechanic Certificate.
- Ability to work standard business hours, Monday through Friday, 9:00 AM to 5:00 PM EDT.
- Proven ability to work independently, demonstrating a high degree of self-organization, initiative, and meticulous attention to detail.
- Commitment to maintaining professional standards in remote work environments, ensuring full availability, appropriate attire during virtual meetings, timely attendance, and minimal distractions.
- Demonstrated capability to effectively manage personal obligations while consistently upholding job responsibilities and adhering to remote work policies.
Preferred Qualifications:
- Working knowledge and practical experience with established aviation safety programs and regulatory frameworks.
- Prior experience with the Web-Based Aviation Training (WBAT) system.
- Experience utilizing risk assessment and/or root cause analysis tools and methodologies to identify and mitigate hazards.
