Flight Operations Scheduler

Position Summary

The Flight Operations Scheduler is responsible for authorizing, scheduling, regulating, and controlling flight activities in accordance with government and company regulations. This role serves to expedite the flight operations schedule while ensuring all activities remain compliant with Federal Aviation Regulations and internal policies.

Essential Functions

  • Maintains accurate and complete information within the Talon scheduling software system.
  • Conducts assigned ground instructor duties for classes as authorized by Federal Aviation Regulations and in alignment with the approved Training Course Outline.
  • Generates and evaluates reports to ensure all flight crews are legal and qualified for their respective assignments.
  • Executes plans for irregular operations, including major cancellations, SWAP events, and delays as directed by the Crew Coordinator.
  • Collaborates with Dispatch and Maintenance departments to resolve operational, instructor, and student-related issues.
  • Guides instructors and students regarding flight operations scheduling and aircraft utilization.
  • Schedules, plans, and controls aircraft usage while reporting daily schedule changes and student or instructor absences.
  • Coordinates with instructors to ensure students are properly scheduled for required flights.
  • Liaises with the Director of Maintenance regarding aircraft requirements and Estimated Time in Commission (ETIC).
  • Prepares comprehensive daily reports detailing delays and cancellations, including specific justifications for each.
  • Enforces the Student Code of Conduct while maintaining a professional, customer-friendly environment.
  • Maintains compliance with all company policies and procedures related to flight and dispatch operations.
  • Works a flexible schedule as required by business necessity.

Knowledge and Skills

  • Foundational knowledge of aviation scheduling and dispatch procedures.
  • Demonstrated ability to exercise good judgment and maintain strict confidentiality.
  • Exceptional verbal and written communication skills with a focus on customer service.
  • Strong organizational skills, time management, and professional follow-through.
  • Proven ability to build relationships with pilots and all levels of management.
  • Strategic and forward-thinking mindset with the ability to manage multiple priorities accurately.
  • Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
  • Technical knowledge of scheduling and flight software, specifically Talon or FlightPro.

Qualifications

  • Education: High School diploma or GED required; Associate degree preferred.
  • Experience: Two years of scheduling experience is preferred.
  • Certifications: No specific certificates or licenses are required for this position.

Physical Requirements and Environment

This position is primarily sedentary and performed in a professional office or operations control environment. Candidates must be able to stand, walk, and communicate effectively both verbally and in writing. Close visual acuity is required for managing schedules, reports, and operational data in a fast-paced setting.

  • Frequent use of computers, monitors, telephones, and headsets.
  • Ability to lift and balance up to ten pounds frequently, and move up to fifty pounds occasionally.
  • Vision abilities including close, distance, peripheral, and depth perception.
  • Flexibility to work evenings, weekends, holidays, and extended hours.
