Position Summary
Reporting to the Director of Flight Operations, the Administrative Manager is responsible for the management and coordination of administrative functions within the Flight Operations Department. This role supports the development, implementation, and administration of departmental policies, procedures, and operational initiatives to ensure efficient and regulatory-compliant flight operations.
Key Responsibilities

Administrative Oversight:
Manage departmental administrative functions, including policy implementation, procurement, and inventory management for flight operations supplies.

Payroll and Liaison Services:
Serve as the primary liaison with Employee Services regarding payroll, worker’s compensation, military/personal leave, and vacation accruals. Manage staffing payroll matters, including timecard corrections and UKG system administration.

Flight Scheduling and Crew Management:
Oversee the cargo schedule building process, including line bidding and distribution. Provide leadership to the flight crew management team to ensure efficient crew utilization while maintaining compliance with FAA flight, duty, and rest requirements, as well as Collective Bargaining Agreement (CBA) provisions.

Daily Operations:
Supervise daily scheduling of flight deck crew members in coordination with AOCC management and dispatchers to ensure adequate staffing and operational reliability.

Labor Relations and Onboarding:
Act as the Flight Operations representative for the Pilot Union, overseeing grievance resolution and labor-related project assistance. Manage the end-to-end onboarding and upgrade process for flight crews, including training tracking and certification management.

Financial Administration:
Oversee pilot compensation accuracy, including flight log calculations, invoice reconciliation, and budgetary planning for crew staffing and cost centers.
Minimum Qualifications

Bachelor’s degree in aviation management, business, operations, or a related field (or an equivalent combination of education and relevant aviation experience).

Minimum of 5 years of progressively responsible experience in the airline industry.

Proficiency in Microsoft Office (Word, Access, and Excel) and general office administration.

Ability to pass a pre-employment drug test, 5-year background check, 10-year criminal history check, and security threat assessment.

Preferred:
3 years of supervisory/leadership experience; experience in a regulated/unionized environment; experience with payroll and accounts payable.

Compensation and Benefits
Salary Range:
$75,000 – $85,000 per year.
