Position Summary

Reporting to the Director of Flight Operations, the Administrative Manager is responsible for the management and coordination of the administrative functions within the Flight Operations Department. This role ensures the development, implementation, and administration of departmental policies, procedures, and operational initiatives to maintain compliant and efficient flight operations.

Key Responsibilities

  • Administrative Oversight: Manage departmental administrative functions, including policy development, payroll liaison services, and inventory procurement for flight operations supplies.
  • Cargo Schedule Management: Collaborate with Schedule Optimization and Cargo Admin to build, approve, and distribute monthly flight schedules.
  • Flight Crew Management: Provide leadership for crew planning and scheduling teams. Ensure compliance with FAA flight, duty, and rest regulations, collective bargaining agreements, and company scheduling policies. Oversee pilot bidding processes, vacation administration, and staffing continuity.
  • Day-of-Operations: Supervise daily flight deck crew scheduling in coordination with AOCC management and dispatch to ensure adequate staffing.
  • Employee Leadership & Union Liaison: Serve as the primary representative between the company and the Pilot Union, managing grievance resolutions, contract-related projects, and onboarding processes for new hires and upgrades.
  • Financial Administration: Oversee pilot payroll, compensation accuracy, invoice reconciliation, and support departmental budgeting and cost center planning.

Minimum Qualifications

  • Bachelor’s degree in aviation management, business, operations, or a related field, or an equivalent combination of education and relevant aviation experience.
  • Minimum of 5 years of progressively responsible experience in the airline industry.
  • Proficiency in Microsoft Office (Word, Access, and Excel) and basic office administration.
  • Preferred: 3 years of supervisory or leadership experience.
  • Preferred: Experience in a regulated, unionized environment and experience with payroll and accounts payable.
  • Must be able to pass a pre-employment drug test, 5-year background check, 10-year criminal history check, and security threat assessment.

Compensation and Benefits

Salary Range: $75,000 – $85,000 per year.
