Senior Cabin Crew Administrator / Coordinator
We are seeking a highly motivated and experienced aviation professional to join our Cabin Services team. The Senior Cabin Crew Administrator will be instrumental in maintaining the highest standards of operational readiness, administrative efficiency, and regulatory compliance for our flight attendants.
Job Purpose
The Senior Cabin Crew Administrator provides essential operational and administrative support to the Cabin Services department, ensuring the efficiency and regulatory compliance of all assigned Cabin Crew members. This pivotal role guarantees that all crew are consistently fit, legally prepared, and ready to operate in strict adherence to GACA (General Authority of Civil Aviation) regulations and established airline Standard Operating Procedures (SOPs).
Key Result Responsibilities
The Administrator is responsible for executing a broad range of duties that ensure operational excellence and personnel effectiveness:
Operational Compliance and Documentation
- Maintains rigorous adherence to all GACA and airline safety standards.
- Oversees the timely update, maintenance, and dissemination of all Cabin Services policies, procedures, manuals, and official documentation.
- Ensures the immediate accessibility of current documentation within the Briefing Room and prepares and issues official memos regarding policy or procedural changes.
Roster Management and Manpower Allocation
- Manages and monitors flight rosters constantly to confirm crew compliance with minimum operational and legal requirements.
- Liaises effectively with the Rostering department to address and resolve any crew shortfalls.
- Conducts routine roster audits to ensure equitable and proper manpower allocation across all flights.
Crew Performance, Assessment, and HR Support
- Supports the Manager – Cabin Crew in comprehensive performance management, including documenting adherence to grooming standards, tracking attendance, handling disciplinary matters, and coordinating appreciation and reward programs.
- Assists with HR and Finance related administrative duties, including recruitment, onboarding logistics (accommodation, transportation), and confirming the successful completion of the Familiarization Flight Program.
- Conducts initial, ongoing, and appraisal reviews for both new and existing crew members across various categories.
- Supports the selection and upgrading process for Cabin Crew aspiring to become Cabin Supervisors, providing coaching, guidance, and mentorship as necessary.
Flight Oversight and Quality Assurance
- Executes daily assessments during crew briefings and conducts random checks (pre-flight, in-flight, and post-flight) to meticulously monitor performance across all phases of operation.
- Ensures stringent adherence to SOPs covering documentation, boarding processes, ground handling, catering logistics, duty-free procedures, and overall cabin appearance.
- Facilitates Cabin Supervisor or Captain debriefings and supports the resolution of any resulting conflicts or complaints.
- Completes detailed Shift Report Logs at the conclusion of each shift, ensuring comprehensive handover to subsequent teams.
Commercial Management and Logistics
- Utilizes operational data and crew feedback to manage, review, and audit on-board catering and duty-free sales in line with stock levels and bookings.
- Audits all commercial documentation, including invoices, cash/credit card receipts, and sales reports, reporting any discrepancies or non-conformity with established standards.
- Partners collaboratively with internal stakeholders, Duty Free suppliers, and Catering providers to resolve customer service issues, enhance the customer experience, and maximize commercial revenue.
- Maintains the overall readiness of the Briefing Office, ensuring cleanliness, functionality of equipment, and necessary documentation is always available.
Qualifications and Expertise
Academic, Training, and Languages
- A Diploma or Higher Secondary Certificate is the minimum requirement; a Bachelor’s degree in Travel, Tourism, or a related field is highly desirable.
- Must possess an active Cabin Crew License issued by the respective Civil Aviation Authority.
- Proficiency in Microsoft Office Suite, with advanced skills in Excel, is essential.
- Demonstrated very good verbal communication, written reporting, and presentation skills.
- Fluency in the English Language is required; proficiency in Arabic is an advantage.
Work Experience and Core Competencies
- A minimum of six (6) years of related working experience as Cabin Crew within a commercial airline.
- A minimum of three (3) years of experience operating in the capacity of a Cabin Supervisor or Administrator. Experience with a low-cost carrier model is beneficial.
- Proven working exposure to Civil Aviation regulations pertaining to crew legality, time limits, licensing, and comprehensive adherence to SOPs (Flight Operations, Security, Safety, and Ground Operations).
- Familiarity with IATA principles and security standards.
- Demonstrates strong planning and time management skills, capable of maintaining efficiency even in challenging operational environments.
- Possesses excellent customer service orientation, employing diplomatic skills to understand and manage customer needs effectively.
- Exhibits a balanced and composed personality, capable of handling difficult situations (e.g., customer complaints, threats, emergencies) with focus, analytical thinking, and commitment to safe outcomes.
- Proven track record in identifying operational pitfalls and recommending cost-effective solutions.
- Dependable, self-initiating, and capable of taking ownership, displaying high energy and enthusiasm.
- Demonstrates the ability to contribute and successfully deliver against strategic business objectives and Key Performance Indicators (KPIs).
