Cabin Crew Administrator (Aviation Management Role)

Overview

A distinguished airline is seeking a highly competent and experienced professional to join the team as a Cabin Crew Administrator. This pivotal third-person role is essential for maintaining operational excellence and regulatory compliance within the Cabin Services division. The Administrator supports the management and oversight of all Cabin Crew members, ensuring optimal performance, readiness, and adherence to rigorous industry standards.

Job Purpose

The Cabin Crew Administrator is responsible for assisting in the comprehensive management and support of Cabin Crew members from both operational and administrative perspectives. This critical function includes facilitating induction processes, conducting performance assessments, and ensuring that all crew members are operationally fit, ready, and legally compliant with the General Authority of Civil Aviation (GACA) regulatory requirements and the airline's Standard Operating Procedures (SOPs).

Key Responsibilities

The Administrator executes a broad range of duties focused on safety, compliance, crew welfare, and operational efficiency:

  • Regulatory Compliance: Ensures that all Cabin Services policies, procedures, manuals, and related documentation are regularly updated and meticulously maintained in strict accordance with GACA regulations and established airline standards.
  • Documentation Management: Maintains an accessible, up-to-date copy of all critical documentation within the Briefing Room for crew access, and prepares and disseminates memos regarding any policy or procedural changes.
  • Roster Management & Allocation: Monitors flight rosters continuously to confirm crew adequacy and compliance with minimum operational requirements. Liaises effectively with the Rostering department to address and resolve any crew shortfalls. Reviews and audits rosters to guarantee fair and equitable manpower allocation across all flights.
  • Performance Management: Assists the Manager – Cabin Crew in managing, certifying, and recording the holistic performance of crew members. This covers grooming standards, attendance, sick leave, disciplinary actions, customer service metrics, sales targets, welfare matters, and coordinating necessary hospital visits.
  • HR and Finance Support: Supports the Manager – Cabin Crew in various HR and Finance related administrative duties, including recruitment, on-boarding, managing accommodation and transportation logistics, and ensuring all necessary documentation, including the Familiarization Flight Program, is completed per adopted procedures.
  • Operational Audits and Checks: Conducts daily assessments during briefings and performs random checks pre and post-flight to monitor overall performance of Cabin Supervisors (CSs) and Cabin Crew (CCs). Focus areas include briefing quality, documentation compliance, boarding processes, ground handling, catering, duty-free operations, and cabin appearance, ensuring strict adherence to SOPs at all stages.
  • Conflict Resolution and Feedback: Assists in managing de-briefings led by Cabin Supervisors or Captains and actively supports the resolution of conflicts or complaints. Provides constructive feedback to Cabin Crew based on flight reports and completes the Shift Report Log to ensure a seamless handover to the subsequent shift.
  • Assessment and Development: Assists in conducting initial and ongoing regular assessments and appraisal reviews for new and existing crew members. Supports the selection and upgrading process for Cabin Supervisors, offering coaching, guidance, and mentorship to operating crew as needed.
  • Service Quality Monitoring: Conducts regular flight assessments and visits to monitor individual and team performance, ensuring steadfast adherence to SOPs concerning security measures and service quality standards.
  • Reporting: Prepares and presents comprehensive management reports detailing assessment findings, observations, and actionable recommendations concerning individual and team performance.
  • Sales and Inventory Control: Utilizes available data, crew feedback, and reports to manage, review, and audit catering and duty-free sales in alignment with booking and stock levels, ensuring accurate control over sales compatibility and revenue generation.
  • Financial Auditing: Audits invoices, cash/credit card receipts, sales reports, and customer feedback to evaluate on-board sales and products. Reports any discrepancies, shortages, or non-conformity with established standards.
  • Stakeholder Collaboration: Partners effectively with internal stakeholders (Duty Free, Catering, etc.) to swiftly resolve issues related to customer service, meals, or products, focusing on enhancing customer experience and maximizing ancillary revenue.
  • Office Readiness: Maintains the Briefing Office to high standards of cleanliness and readiness, including equipment and documentation. Advises on necessary maintenance or equipment replacement.
  • Operational Coordination: Advises Crew Control promptly in the event of an operating Cabin Supervisor or Cabin Crew absence to facilitate necessary arrangements for the pre-flight safety briefing.

Required Qualifications and Skills

Academic, Training, and Languages

  • A Diploma or Higher Secondary Certificate is the minimum acceptable qualification; however, a Bachelor's degree, preferably in Travel, Tourism, or a related field, is highly advantageous.
  • Possession of an active Cabin Crew License issued by the respective Civil Aviation Authority is mandatory.
  • Proficiency in Microsoft Office Suite, with advanced skills in Excel, is essential.
  • Demonstrated excellence in verbal communication, written reporting, and presentation skills.
  • Fluency in the English Language is required; proficiency in Arabic is a definite advantage.

Work Experience and Core Competencies

  • A minimum of 6 years of relevant working experience as Cabin Crew within a recognized airline is required.
  • At least 3 years of this experience must have been accrued in the capacity of a Cabin Supervisor or Administrator. Experience with a low-cost carrier model is a plus.
  • Extensive working exposure to Civil Aviation regulations concerning legality, time limits for cabin crew, licensing, and Standard Operating Procedures (SOPs) across Flight Operations, Security, Safety, and Ground Operations. Prior experience with a Civil Aviation Authority is beneficial.
  • Familiarity with IATA principles and standards, particularly those relating to aviation security.
  • Highly customer service oriented, possessing diplomatic and tactful communication skills necessary for understanding customer needs and directing them appropriately.
  • Possesses a balanced, composed, and analytical personality capable of handling difficult situations (e.g., irate customers, threats, emergency cases) with efficiency, focus, and unwavering commitment to safe and successful outcomes.
  • Exhibits very strong planning and time management skills, effective even in challenging operational environments.
  • Proven capability to train, coach, and mentor others on performance adherence against approved standards.
  • Must maintain a professional, presentable appearance and possess good general health and fitness.
  • Demonstrates dependability, self-initiative, ownership, energy, and enthusiasm.
  • Proven skills in identifying operational pitfalls and recommending cost-effective, practical solutions.
  • Cost-oriented, possessing effective problem-solving and sound decision-making abilities.
  • Working exposure to internal and external audit practices is valued.
